Privacy Policy

At Huntingdonshire Society for the Blind (“the Society”), we are committed to protecting your personal data and privacy. This policy explains what information we collect, why we collect it, how we use it, and your rights.

1. Why We Collect Your Data

We collect your data to help us support and deliver services to people with visual impairments across Huntingdonshire. This includes contacting you about our activities, events, and services, and responding to your enquiries or support needs.

2. What Data We Collect

We may collect and store personal information such as:

  • Name
  • Postal address
  • Phone number(s)
  • Email address
  • Date of birth
  • Gender
  • Details about your eye condition or other relevant health information (if you are a member)
  • Information about your interactions with us, such as volunteering or donations

We collect this data when you:

  • Sign up through our website or paper forms
  • Contact us directly by phone, email, or in person
  • Are referred to us (with your consent) by a third party
  • Apply to work or volunteer with us
  • Make a donation or payment via our website

3. Consent and Legal Basis

We will always seek your explicit consent to hold any sensitive personal data, like health details. For general purposes—such as contacting you after you’ve volunteered or made a donation—we may use your data without consent if you would reasonably expect it.

You can withdraw consent or update your preferences at any time by contacting us.

4. How We Use Your Data

We use your data to:

  • Send newsletters and updates
  • Invite you to events and activities
  • Deliver our services to you
  • Gather your feedback
  • Process donations or payments
  • Manage applications for employment or volunteering

Your data is only accessed by authorised Society staff or volunteers who need it to carry out their roles.

5. How We Keep Your Data Safe

We store your data securely using a system called Charity Log, which is protected with strict login controls and two-step verification. Data access is restricted based on staff roles.

Any paper documents are stored securely and only accessible to authorised staff.

If you make a payment via our website, it’s processed through a secure platform called TPonlinepayments. We do not store your card details.

6. Sharing Your Data

We do not share your personal data with third parties unless:

  • You have given consent
  • We are legally required to do so

7. How Long We Keep Your Data

We only keep your data as long as it’s needed to provide services or meet our legal obligations.

You have the right to:

  • Access your data
  • Ask us to update or correct it
  • Ask us to delete it

We also carry out regular data checks, and you will be asked once a year to confirm your details and marketing preferences.

8. What Happens When You Leave or Withdraw Consent

If you move out of the area, withdraw consent, or sadly pass away, we delete your records promptly and securely.

9. Your Rights

You have the right to request:

  • A copy of your data
  • Corrections to your data
  • Deletion of your data
  • Restrictions on how your data is used
